The Challenge
Wellington City Council undertook a monumental task of migrating over 1TB of sensitive data to a secure cloud-based platform. With the help of Spoke, the council successfully implemented a custom Employee Files solution within SharePoint Online, automated the migration process, and established a role-based access model. The project resulted in improved data security, a robust content management system, and increased productivity for the information management team
The Solution
Spoke stepped in to provide the missing pieces, with a dedicated SharePoint technical lead to join the council's migration team the development consultant who played a key role in the project's success with:
Secure Cloud Storage: The lead designed and implemented a custom Employee Files solution within SharePoint Online, ensuring it met the council's strict security and business requirements.
Automated Migration: Utilising best practices and migration tools, Spoke automated the transfer of massive datasets, streamlining the process.
Simplified Access Control: A new, role-based access model was established. This ensured that only authorized users could access specific data and tied access back to Identity management source-of-truth (HRIS).
Future-Proofing Information Management: Spoke crafted a roadmap for the IM team, outlining the steps towards automating standard operating procedures and creating a new operational model that aligned with the council's strategic goals.
Knowledge Transfer: Through mentoring and coaching, Spoke empowered the IM team by teaching them the features and benefits of M365. This boosted their skills and confidence in managing the new system.
The Result
Wellington City Council successfully migrated their data to the cloud, significantly improving data security and compliance. They gained a robust content management system and ongoing support from Spoke, who continued to help them develop new functionalities and optimize their information management processes. The IM team reported increased productivity and satisfaction, thanks to their newfound expertise in using M365 effectively.
